Event Terms & Conditions

These Terms & Conditions apply to bookings for the Health Optimisation Summit and govern your participation in the Event. They set out important information regarding bookings, payments, cancellations, accommodation, activities, health and safety, liability, and your rights and obligations as an Attendee. By completing a booking, you agree to be bound by these Retreat Terms & Conditions. These terms prevail over the Site Terms & Conditions in the event of any conflict.

These Terms and Conditions (“T&Cs”) govern your purchase of tickets for, attendance at, and participation in the Health Optimisation Summit Austin 2027 (the “Event”), operated by Health Optimisation (Summit) Ltd (“Health Optimisation Summit”, “we”, “us”, or “our”).

For the purposes of these T&Cs, the “Event” includes the Health Optimisation Summit and all associated activities, including workshops, side-events, and related experiences.

By purchasing a ticket, registering for, attending, or participating in the Event, you agree to be bound by these T&Cs.

1. The Event

1.1 Health Optimisation Summit is a community-led, science-informed health experience bringing together individuals, professionals, brands, and innovators focused on health, longevity, wellbeing, and performance.

1.2 The Event will take place at the Palmer Events Center, 900 Barton Springs Rd, Austin, TX 78704, United States.

1.3 The Event dates and times are:
Friday 2 April 2027: 09:00 – 18:00
Saturday 3 April 2027: 09:00 – 18:00
Sunday 4 April 2027: 09:00 – 16:00

1.4 We reserve the right to make reasonable changes to the Event timetable, programming, speaker lineup, exhibitor lineup, workshop schedule, venue layout, and other Event details where necessary.

2. Side-Events

2.1 Side-events may include dinners, networking events, workshops, and other activities held in connection with the Event.

2.2 Attendance at side-events is subject to these T&Cs unless otherwise stated.

2.3 By attending a side-event, you acknowledge that:

  • third-party venues and providers may be involved

  • additional rules or requirements may apply

  • you are responsible for your own transport unless stated otherwise

  • you remain responsible for your own conduct, belongings, health, and safety

2.4 To the extent permitted by law, we are not liable for circumstances outside our reasonable control at third-party venues.

3. Workshops

3.1 Workshops may be included in certain ticket types or offered separately.

3.2 Workshop access is subject to availability, capacity limits, safety requirements, and eligibility criteria.

3.3 Access to specific workshops is not guaranteed.

3.4 No refund or credit will be provided if you are unable to attend a workshop due to capacity limits, scheduling conflicts, or lateness.

3.5 You are responsible for determining whether participation is suitable for you. We may refuse or stop participation where reasonably necessary for safety or appropriateness.

4. Event Organiser and Event Changes

4.1 The Event is organised by Health Optimisation (Summit) Ltd (company number 11881895), registered at 23 High Street, Bagshot, Surrey, GU19 5AF, United Kingdom.

4.2 We may postpone, reschedule, modify, or cancel the Event where reasonably necessary, including due to circumstances beyond our control (including force majeure events).

4.3 If the Event is rescheduled, tickets will remain valid for the new date unless otherwise required by law.

4.4 If the Event is cancelled and not rescheduled, ticket holders will be entitled to a refund of the ticket price.

4.5 Changes to speakers, agenda, workshops, exhibitors, or format do not constitute a material change and do not entitle you to a refund.

4.6 We will use reasonable efforts to notify ticket holders of significant changes.

5. Eligibility

5.1 The Event is open to individuals aged 18 or over, or under 18 if accompanied by a parent or legal guardian.

5.2 Certain activities may be restricted to those aged 18+.

5.3 You are responsible for ensuring participation is appropriate for your health and circumstances.

6. Registration and Purchase

6.1 Registration opens on 25 March 2026.

6.2 Tickets are confirmed only upon successful payment and confirmation.

6.3 You must provide accurate and complete information.

6.4 We are not responsible for booking failures outside our control.

7. Main Ticket Purchaser

7.1 The person purchasing tickets for others confirms they have authority to accept these T&Cs on their behalf.

7.2 They are responsible for ensuring all attendees comply with these T&Cs.

8. Tickets, Transfers, and Cancellations

8.1 Tickets are non-refundable except where:

  • required by applicable law; or

  • expressly stated otherwise in these T&Cs

8.2 Tickets may be transferred up to 14 days before the Event.

8.3 Tickets may not be resold for commercial gain without consent.

8.4 If you cannot attend, no refund will be provided except where required by law.

9. Travel and Accommodation

9.1 Tickets do not include travel, accommodation, or related costs.

9.2 You are responsible for all travel arrangements and documentation.

9.3 We are not responsible for travel disruptions or visa issues.

10. Data and Communications

10.1 Your data will be processed to administer the Event and provide communications.

10.2 Marketing communications will only be sent where permitted by law, and you may opt out at any time.

10.3 Data will be handled in accordance with applicable data protection laws.

11. Event Content and Health Information

11.1 The Event provides general educational and informational content only.

11.2 Nothing constitutes medical advice, diagnosis, or treatment.

11.3 We do not guarantee any specific health, performance, or wellbeing outcomes.

11.4 You should seek professional medical advice before making health changes.

11.5 Views expressed by speakers or participants are their own.

12. Assumption of Risk

12.1 Participation may involve inherent risks.

12.2 You voluntarily assume all such risks except where liability cannot be excluded by law.

12.3 You agree to follow all safety instructions.

12.4 Emergency medical assistance may be provided if necessary; associated costs are your responsibility.

13. Third-Party Providers

13.1 Certain services may be provided by independent third parties.

13.2 Those parties are responsible for their own services.

13.3 To the extent permitted by law, we are not liable for third-party services, except where we have acted negligently in selecting or managing them.

14. Insurance

14.1 We do not provide personal insurance.

14.2 You are responsible for arranging appropriate cover.

15. Personal Belongings

15.1 You are responsible for your belongings.

15.2 We are not liable for loss or damage except where required by law.

16. Attendee Conduct

16.1 You must behave respectfully and safely.

16.2 We may remove attendees for misconduct without refund.

17. Media and Content

17.1 The Event may be recorded.

17.2 By attending, you grant us the right to use your image and likeness for promotional purposes, in accordance with applicable law.

17.3 This includes edited and AI-assisted media.

18. Intellectual Property

18.1 All Event content is protected by intellectual property laws.

18.2 You may not use it commercially without consent.

19. Right to Refuse Entry

We may refuse entry or remove attendees where reasonably necessary.

20. Limitation of Liability

20.1 Nothing excludes liability for death, personal injury, fraud, or any liability that cannot be excluded by law.

20.2 To the extent permitted by law, we are not liable for indirect or consequential losses.

20.3 Our total liability shall be limited to the ticket price paid, where reasonable and proportionate.

21. General

21.1 We may update these T&Cs from time to time.

21.2 If any provision is invalid, the remainder remains in effect.

21.3 These T&Cs form the entire agreement.

22. Governing Law

22.1 These T&Cs are governed by the laws of the State of Texas, United States.

22.2 The courts of Travis County, Texas have jurisdiction.

22.3 Nothing in these T&Cs affects any mandatory rights you may have under the laws of your country of residence.
